Administrator CV example

An administrator CV works when it names the systems you run and the people you support, then proves each with a result. Open with a short profile, list your jobs newest first, and give every bullet a detail another applicant could not copy: the software, the volume, the deadline or the process you fixed.

Why admin CVs blur together

An office administrator vacancy on a local job board can draw dozens of replies, and most of them say the same things: organised, good with people, proficient in Microsoft Office, able to multitask. The hiring manager, often the person you would report to, has no way of telling those CVs apart. The one that gets a call is the one that sounds like a real office. "Keep diaries for three directors and book all client meetings across two sites" is a picture. "Excellent organisational skills" is not.

Before you write anything, list what you actually handle in a normal week. Post and email inboxes, invoices raised or chased, purchase orders, rotas, meeting minutes, starter paperwork for new staff, supplier calls, the office budget, building access, the stationery order nobody else remembers. That list is your raw material. Most of it belongs on the CV, with numbers you can stand behind.

Name your systems, then show you use them

Software is the one place an admin CV can be exact, and employers screen on it. If the advert mentions Xero, Sage, SharePoint or a sector system, the reader looks for that word. Say what you do in each package rather than listing logos.

  • Finance: "Raise sales invoices and chase overdue accounts in Xero; reconcile the petty cash each month."
  • Microsoft 365: "Built the shared Outlook calendar and Teams channels for a team of twelve; set up SharePoint folders with the right permissions."
  • Excel: "Keep the maintenance tracker for 140 properties, with filters and a weekly summary for the manager." Say which functions you use (lookups, pivot tables) only if you would be happy to show them.
  • Sector systems: a GP practice clinical system, a CRM, a property management system or a school MIS. Give the name; it tells the reader you already know that world.

Typing speed is worth stating only if you have tested it recently, and some employers test you on the day. Round down rather than up. The same goes for "advanced Excel": if a practical test is likely, describe the tasks instead.

Turn duties into results

Job descriptions list duties. A CV should list what happened because you did them. Take each duty and ask: how often, for how many people, and what got better?

Improvements count for a lot in admin work because so much of it is invisible when it goes well. If you replaced a paper sign-in book, cut the time it takes to onboard a new starter, or wrote the guide that lets cover staff run your desk while you are on leave, say so.

From receptionist to administrator to office manager

Plenty of administrators start on a front desk, and it is good experience to show. Reception work proves you can juggle interruptions, deal with upset callers and keep records straight. When you apply for your first administrator post, bring the back-office parts of that job forward: bookings, data entry, payments, rotas.

The step to senior administrator or office manager is about ownership. Recruiters look for proof that you ran something without being asked: a supplier contract you renewed, a budget line you kept to, a junior you trained, a health and safety check you arranged. If you already cover for the office manager, write that down with how often. A title change can lag a long way behind the job you are doing.

A profile that is not a list of adjectives

Three sentences are enough. Years of experience and the kind of office, the two or three systems and tasks you are strongest at, and the job you want next. For example: "Office administrator with seven years in property management and general practice, running invoicing in Xero and diaries for a team of twelve. Looking for a senior administrator or office manager post in Sheffield."

Things admin CVs get wrong

  • "Proficient in Microsoft Office" with nothing behind it. Every applicant writes it, so it filters nobody in.
  • A skills list of personality traits (reliable, friendly, punctual) where the software and tasks should be.
  • Leaving out the sector. Admin in a GP surgery, a law firm or a school each comes with its own systems and rules on confidential data, and employers in those fields value that.
  • Every job described with the same five duties, so the reader cannot see any progress between them.
  • Temp and agency assignments scattered as separate jobs. Group them under one heading with the agency name and the dates, then list the best two or three placements.
  • Spelling mistakes. In a job built on accuracy, one typo does more damage than on almost any other CV.

Layout, length and applying

Admin employers read a CV as a sample of your work. Tidy spacing, consistent dates and no typos say more about your attention to detail than the phrase itself. Keep to one clean column and two pages at most; a first admin job fits on one. Many larger employers, councils and NHS trusts put applications through online systems, so use plain headings they can read. Public sector posts often ask for an application form too, and your CV becomes the notes you copy from.

Admin pay

The National Careers Service gives an average of £21,000 a year for a starter admin assistant and £28,000 for an experienced one. For office managers, its figures are £25,000 starter and £40,000 experienced.

Questions people ask

What skills should I put on an admin CV?
Name the systems first: Microsoft 365, Excel, your finance package such as Xero or Sage, and any sector system. Then practical skills such as diary management, minute taking, invoicing and data entry. Back each one up in your experience section with what you did and how often.
How do I write an admin CV with no admin experience?
Look for admin inside the jobs you have had. Retail and hospitality involve cash handling, rotas, stock counts and customer records. Volunteering may involve bookings or emails. Put those tasks first under each job, add any Excel or business administration course, and apply for admin assistant or receptionist roles first.
Should I include my typing speed?
Only if you have tested it recently and the advert asks for it. Give the words per minute you actually scored, because some employers test on the day. If there is no figure asked for, a line on the documents you produce every week says more.
How long should an administrator CV be?
One or two pages of A4. An admin assistant early in their career should aim for one full page. With several admin jobs and a move towards office management, two pages is fine, with your most recent role and your systems on the first page.
How do I move from administrator to office manager?
Show ownership. On your CV, pick out the parts of your job where you ran something alone: a budget, suppliers, facilities, onboarding, training new staff or covering for your manager. Give each one a result. A Team Leader apprenticeship or a management course can also help.
